Sheet B-01 / Working together
How We Work With Fence Contractors

We Do Not Give You Our Process. We Get Into Yours.

Every fence company runs differently. Different CRM, different qualifying questions, different rules. So we learn how your operation already runs, then work inside it.

What Contractors Ask Before Bringing Us In

About J TecHive

Who are we actually hiring?

A small remote operations team that has spent years running back-office work for U.S. fence contractors. Real people on your calls, not software and not an AI answering system.

The experience behind J TecHive was earned before J TecHive had a name. There is more on that on the about page.

Where is your team based?

J TecHive Pvt Ltd is incorporated with the Securities and Exchange Commission of Pakistan, company registration number 0149596, and our team works remotely from Pakistan. We work U.S. hours and answer as your company, so a homeowner in Charlotte or Dallas is speaking to your business, not to us.

We say this openly because you should hear it from us rather than work it out later. What matters day to day is whether the person answering knows what a gate post costs and can put a real time on your calendar. The record is on the about page.

Do you only work with fence contractors?

Yes. Fencing is the trade we know, and it is the reason a call sounds right to a homeowner. Linear feet, gates, tear-out, post depth, 811, HOA colour approvals, why a corner lot changes the price.

A general answering service has to learn all of that on your customers. We do not.

How many contractors do you work with at once?

Deliberately few. The whole model depends on knowing your process well enough to answer as your company, which does not work at volume.

If we are at capacity we will tell you on the assessment call rather than take you on and stretch.

Getting started

How long before you are actually working our leads?

Usually within a week or two of the kickoff session. The assessment call comes first, then one working session covering your process in detail, then access to your systems.

The main thing that slows it down is access. Get us into your CRM and phone system quickly and everything else moves.

Who on our team needs to be involved?

One person who genuinely knows how the operation runs. Usually the owner in a smaller company, or whoever handles scheduling and the office side.

A few hours of that person's time at the start, then far less. Your estimators and crews do not need to sit through onboarding.

What do you need from us to get going?

Access to the systems you already use, your qualifying questions, your scheduling rules and service areas, and a clear picture of who does what today.

You do not need to write documentation. We write it up from the call and confirm it back to you before taking live work.

What each stage covers

What does Speed to Lead actually handle?

Everything from a lead arriving to a confirmed estimate on your calendar. Contact attempts, follow-up to an agreed cadence, the project qualified in fencing terms, and your CRM kept current.

The full process is on the Speed to Lead page.

What happens between the signature and the crew?

That is Pre-Construction. Deposit verification, 811 coordination, HOA and permit awareness, material orders and site readiness, all tracked to a status before a job is released to production.

See Pre-Construction Operations for how each step is handled.

Does the work stop once the fence is built?

No. Field Production runs through closeout. Crew routing and material drops, then the walkthrough booked, the final invoice triggered in your system, and the remaining balance followed up until the job can actually be closed.

Details are on the Field Production page.

Can we start with one stage instead of all three?

Yes, and most contractors do. Lead response is the usual starting point because that is where the loss is most visible, and the rest gets added once you can see it working.

If the problem is clearly after the sale, we start there instead. The solutions overview shows how the three connect.

Your systems and your process

Do we have to change our CRM or buy new software?

No. We work inside whatever you already run, whether that is a full CRM, a shared calendar and a spreadsheet, or something in between. Nothing gets migrated and no data moves to a system of ours.

If your current setup is genuinely holding the operation back we will say so, but that is your call, not a condition of working together.

Do you use your process or ours?

Yours. Your qualifying questions, your scheduling rules, your follow-up cadence, your way of speaking to homeowners.

We have seen a lot of fence operations and will flag anything likely to cause a problem. But we do not arrive with a process and ask you to adopt it.

What happens when our process changes?

You tell us and we change with it. New service area, different scheduling rule, a new estimator, a different way of handling deposits. None of that needs a formal change to the engagement.

Processes drift as companies grow, so we would rather hear it early than find it in a call recording.

Working together

Are you replacing our office staff?

Not unless that is what you want. Most of our work sits alongside people already there, taking the load that has been landing on an owner's evenings or a stretched office manager.

If you have no office staff at all, we become that layer. If you do, the split gets agreed in onboarding.

Who does the homeowner think they are speaking to?

Your company. We answer in your company name, ask your questions, and book into your calendar. Nothing about the call tells a homeowner anyone else is involved.

It is your customer, your brand and your relationship. We are the people making sure the conversation happens at all.

How do we know what has actually been done?

Everything is logged in your systems as it happens, so you open your CRM and see the real position rather than asking anyone.

You also get a named contact here rather than a support queue. When something is stuck it gets raised with you, not left sitting.

What happens to our customer data?

It stays yours and it stays where it is. Your leads, homeowner details, pricing and job records live in your systems, not ours. We work inside your tools rather than copying anything into a database of our own.

We do not sell, share, or pass client information to anyone, and we do not use one contractor's data to benefit another. Access is limited to the people actually working your account, and it ends when the engagement does.

Do you work with other fence contractors?

Yes. Fencing is the only trade we work in, and that focus is what makes us useful to you.

Every account is run independently. Your leads are worked only for you, your process is applied only to your jobs, and nothing about how your company operates is visible to anyone else we work with. Opportunities are never redirected, ranked, or weighed against another contractor's.

The commitment is simple. When a lead comes in for your company, it gets worked as though it were the only one on the desk.

Do you cover evenings and weekends?

Coverage runs seven days a week, 7am to 9pm, with the exact window agreed with your company. Evening and weekend enquiries are worked as they arrive inside that window.

Anything landing overnight is picked up when the window opens. We do not call homeowners at two in the morning, and neither should anyone else.

Pricing and commitment

How does pricing work?

A monthly base fee for the coverage you choose, plus a per estimate fee when an appointment is actually booked. If an appointment cancels, you are not charged for it.

The model exists so a slow month for you is a slow month for us. Current figures are on the pricing page.

Is there a setup or onboarding fee?

The assessment call is free and there is nothing to pay to have the conversation. Anything beyond that is set out plainly before you commit, with no fee that appears later.

See the pricing page for what applies to your setup.

What happens when our volume grows or we add crews?

The work scales with you and the arrangement gets revisited rather than quietly stretched. More leads, more crews or a new service area all change the shape of what we are doing.

We would rather adjust openly than let quality slip while pretending nothing has changed.

Are we locked into a long contract?

No. The work should hold on its own merits, and if it is not working you should be able to say so.

Terms are covered on the pricing page and confirmed before anything starts.

What we do not do

Do you close the sale?

No. Your estimator prices the work and wins it. We make sure the opportunity reaches them while it is still winnable, with enough context that they are not starting from nothing.

Anyone promising to close fence jobs over the phone for you is describing a different business than yours.

Do you pull permits, perform surveys, or control 811?

No to all three. We are not a permitting authority, an HOA, a surveyor, or a utility locating service. Permits are issued by the authority and held in your name, locating is done by the 811 centre and the utility operators.

What we do is identify that a requirement applies, communicate the next step to whoever owns it, track the status, and make sure it is not the thing nobody remembered.

Do you handle our money?

No. We do not take payments, hold funds, or act as your company in a financial capacity. Deposits and balances go directly to you through your own systems.

Our part is operational. Verifying a deposit landed before a job is scheduled, triggering the final invoice after the walkthrough, and following up on what is outstanding.

Do you generate leads for us?

No. We are not a lead generation company and we do not sell you leads. You already pay for yours through Angi, Google, referrals or your own name in the market.

Our job starts the moment one of those arrives, and it is to make sure you get the chance to bid it.

You built the company.

We work inside it, on your terms, and the parts that are yours stay yours.

Next step

Start With a Straight Conversation

The assessment is a call about how your operation runs today and where work is getting stuck. It takes about twenty minutes and there is nothing to sign at the end of it.
